Many overseas brands receive widely varying prices from different packaging suppliers. In most cases, it is not dishonest pricing, but incomplete project information from buyers. If you want reliable, comparable quotes, provide complete specifications at the very beginning.
1. Basic box information
- Box style: rigid box, folding carton, mailer box, drawer box, book‑style box. Avoid vague term “gift box”.
- Finished outer dimension: length × width × height. If you only have product samples, share product dimensions.
- Order quantity: exact pcs per variant, separate sample quantity and mass‑order quantity.
Unit price changes sharply with order volume. Vague quantities will only return rough estimated prices.
2. Material specifications
3. Printing & finishing processes
- Printing: CMYK, spot color, single‑sided or double‑sided printing.
- Extra finishes: hot stamping, embossing, spot UV, flocking. Specify where each effect applies.
- Supply artwork files or reference images. If artwork is not finalised, describe your design direction.
4. Accessories
5. Trade & logistics requirements (often overlooked)
- Incoterms: EXW / FOB / CIF. Prices differ greatly under different terms.
- Delivery location: factory warehouse or nominated seaport.
- Shipment method: sea freight or air freight, for container calculation.
- Target lead time: note if you have rush‑order deadlines.
6. What you should request inside your quotation
- Unit price & total amount with currency.
- Mass‑production lead time (after artwork approval & deposit received).
- Sample cost, sample lead‑time and sample freight.
- Payment terms.
- HS code and export documents if required.
Common sourcing mistakes
- Sending reference pictures only without size and quantity: you will only get rough estimates, not firm order prices.
- Asking for “cheapest possible price” without material & finish requirements. Factories will quote minimum‑grade options, price increases will happen later when you upgrade finishes.
- Mentioning compliance requirements only after mass production starts. It may cause re‑work risk.
- Comparing unit prices directly without checking Incoterms. One quote EXW and another FOB cannot be compared directly.
